Through a series of coincidences, I’ve been a close spectator of the workings of HR teams, small and large. I had a fun time as General Counsel for one of the large global outsourcing service providers serving the HR sector. Subsequently, I never seemed far away from projects that directly or indirectly interacted with HR processes.

Of all the back-office functions, HR functions at the confluence of regulation change, procedure and business need – but remains vitally (and ironically dependant on humant input).

Too  much procedure with too little human involvement will fail business needs. Failure to reflect regulatory requirements, or inability to roll with change, leads to the same dysfunction. It’s difficult enough to blend all the requirements in just the right mix, but then you have to add volume.

Some HR tasks require specific solutions. Nobody operates the payroll without a payroll solution, for example. Many HR teams also use more generic HR applications for wider matters like absence management, maintaining HR records, and staff appraisals. Where does an application like Legito fit?

Benefits of Legito Deployment

The handover between the HR team and other back-office teams ought to be integrated. True integration across department boundaries is harder to achieve with disparate systems. It’s harder when those disparate systems evolve, as they must.

Let’s talk about the human dimension for a moment. It’s a rare HR workflow that can be fully automated without adverse consequence. Task 9 Test Workflow

For the final task of this course, we will test the Training workflow and determine if it works correctly.
There are two options available for testing a Workflow:
a) On an automatically created Document Record of a Legito Document (document generated from an automated Template); or
b) On a manually created Document Record of an uploaded (externally generated) document.

Step-by-Step Guide

Step 1: Test the option a)

First, go to your Dashboard and create a new document from your automated Loan Agreement template. (If you have not done this part of the Course yet, use the Legito sample Template that the Training Workflow was attached to). Save the document.


Go to the Manage Documents area. The Document Record of the newly created document will be on the top row. Find the Stage for your document (which is set to Draft). Open the Workflow Stages dropdown and:

  • Ensure that the Training Workflow is applied to this Document Record (The Stages will match);
  • Make sure that all Stages except “To Be Reviewed” are disabled (grayed out);
  • Move the Document Record’s Stage to “To Be Reviewed”.

Expand the Document Record (e.g. click to Document Name). The “Appoint Approvers” button will be visible on the right section of the Document Record. Click the button to appoint yourself as a document Approver and confirm.

Now, the document has been automatically moved to the Managers Confirmation Stage. The Appoint Approvers button will appear again. Click the button (the current approval is set as fixed so there is no need to select approvers). In this instance, Approvers will be appointed automatically based on the Approvals settings in the Workflow Editor. Click Approve.

After the document has received Managers Confirmation, it will automatically get pushed to the Ready for Signature stage.

Now ensure that the Stage can only be manually moved from the “Executed Stage” to the “Expired” Stage. If so, congratulations, you successfully created and tested your Training Workflow.

Step 2: Test the option b)

Similar to option a), except, rather than creating a Legito document from an automated Template, start by clicking the Create Document Record button on the left-hand side of the Recent Documents section of your Dashboard. A new window will appear on the left side of your screen with the required fields. Please complete the following:

  • Document Name (e.g. Test Document);
  • Stage dropdown (to the right of Document Name): Select Training Workflow;

Confirm the new document record by clicking the Save button.

Step 1: Assign your Workflow

Return to your Dashboard.

Open the Template Administration area of your training Loan Agreement template. Clicking the down-arrow on the Create button and select Edit on the Template Suite Placeholder. If you have not completed the lesson on Template Administration, open the Template Administration area in Legito’s sample Template (typically Contractor Agreement).

Open the Assigned Workflow dropdown in the right menu and choose Training Workflow.

Now you can exit the Template Administration area and test the Training Workflow.

Task 7 Set Flow Properties

Now that the Workflow is completed by adding Stages, Approvals and Flows, we will now add triggers to ensure a quick and accurate Workflow. These triggers will help automatically move a document to a new Stage, or control how users manually move documents through a Workflow.

Step-by-Step Guide

Step 1: Click the Flow

Click the Flow between “Ready For Signature” and “Executed” Stages.
In the right menu:

  • First, open the Manual activation dropdown and select “Signing in process”.
  • Next, open the Automatic Activation dropdown and select “Document was signed”. Tick the Allow Manual Activation checkbox.
  • One scenario where manual activation is useful would be where an electronic signing process is already started in Legito, but perhaps the customer came in afterwards to sign the document in person.
Step 2: Color Guide to Type of Flow
  • Dotted Line – Manually
  • Solid Line – Automatically ( possible to activate Manual Activation in addition)
  • Green Flow – Granted Approval
  • Red Flow – Rejected Approval

Task 6 Create Additional Flows

Right now, all the Stages and Approvals in your Workflow are ready, but your current Workflow design only permits users to move documents forward through the workflow. Rarely is a document’s lifecycle so straightforward. Documents often may circulate repeatedly between two or three stages. Now we will make this Workflow a bit more realistic by adding routing options.

Step-by-Step Guide

Step 1: Connect a Flow Back to the “Draft” Stage

First, we will connect a Flow back to the “Draft” Stage. Place the cursor over the top border of the “To Be Reviewed” Stage. A line with a dot in the middle will appear. Click and hold this dot, and drag the dotted line back to the “Draft” Stage.

Note:
Before this change, users were limited to only moving a document from the “Draft” to the “To Be Reviewed” Stage, but could not move it back to Draft. The newly added Flow now permits users to move a document back to the “Draft” Stage from the “To Be Reviewed” Stage.

Step 2: Create Further Flows

Now, following the same process as above, drag 2 separate Flows from the “Manager Confirmation” Stage to the “Draft” and “To Be Reviewed” Stages.

Step 3: Draw Flow from Approval

Flows can also be drawn from Approvals. You can do this by placing the cursor at the bottom border of the second Approval (between the “Manager Confirmation” and “Ready For Signature” Stages) and dragging the Flow to the “To Be Reviewed” Stage.
You should see one green and one red Flow from the Approval. It means that the document will be routed depending on whether the document was approved or rejected.

Step 4: Publish the Workflow

The final step in this task is to draw a Flow from the “Ready For Signature” Stage to the “Expired” Stage.
This training Workflow is now complete. Click the Publish button in the top right corner to publish the Workflow, making it ready for use.

Once the Stages properties have been set, the flow of documents can be configured according to your processes. A key Workflow component for ensuring proper document management are Approvals.

Step 1: Add Approval
  • Click the Flow (arrow) between “To Be Reviewed” and “Manager Confirmation” Stages.
  • Next, click “Add Approval” in the right menu. This will add an Approvals symbol (a check” in green circle) and change the color of the Flow to green.

Now any user can change the stage of a document from “To Be Reviewed” to “Managers Approval” once the delegated Approvers approve the document.

Here, you can set properties for each of the six stages.

Step 1: Set Stage’s color

First, click the “Draft” Stage. Doing this will alter the Canvas’ right menu. Use the right menu to set the Stage’s color to yellow. Keep the other Stage properties as they are by default (checked or unchecked).

Step 2: Modify the Properties of the Remaining Stages
Click on the remaining Stages and modify the properties as follows:

  1. To Be Reviewed
    • Set color to purple
  2. Managers Confirmation
    • Set color to dark pink
  3. Ready For Signature

Task 2 Create Workflow Stages

The goal of this task is to create all the Workflow Stages you need to manage the document lifecycle of the training document.

Step-by-Step Guide

Step 1: Create a Stage

The Workflow Canvas will display an initial Stage named “Draft”. Underneath this Stage, click the “add” symbol within a grey circle (+).

A new Stage has now been added to your Workflow Canvas. Double-click the Stage name and enter the text, “To Be Reviewed”. Press the Enter key on your keyboard, or click any blank area of the Canvas to confirm.

Step 2: Add Further Stages

For each newly created Stage, repeat the steps above four times, adding following names:

  • Managers Confirmation
  • Ready For Signature
  • Executed
  • Expired
Step 3: Rearrange your Stages

It is possible to rearrange the six Stages on the Canvas to positions that make sense visually within your Workflow.
